SEPAM is seeking an enthusiastic and detail-oriented Administrative and Data Management Specialist to join our team. This role is pivotal in maintaining efficient administrative processes, ensuring the accuracy of financial records, and managing critical data entry tasks. Key Responsibilities:
Document Control:
- Create, organize, and maintain both physical and electronic documents and records.
- Ensure documents are appropriately categorized, indexed, and archived for easy retrieval.
- Implement and enforce document control procedures to maintain data integrity.
- Collaborate with project teams to oversee project-related documentation.
Finance Administration:
- Assist in financial recordkeeping and accounting tasks.
- Process invoices, expense reports, purchase orders, and other financial documents.
- Reconcile financial discrepancies and support audit processes as needed.
- Assist in payroll processing and other financial transactions when necessary.
Data Management:
- Enter, update, and maintain data accurately in company systems and databases.
- Perform routine data validation and quality checks to ensure data integrity.
- Generate reports and analyze data to support decision-making processes.
- Collaborate with IT and other departments to resolve data-related issues.
Qualifications:
- Bachelor's degree in Business Administration, Finance, or a related field (preferred).
- Proven experience in document control, finance administration, and data management roles.
- Proficiency in document management software, accounting software, and data entry tools.
- Exceptional attention to detail and organizational skills.
- Excellent communication and teamwork abilities.
- Ability to handle confidential information with discretion.
- Proficiency in MS Office Suite (Excel, Word, PowerPoint).
