Description:
The position requires a strategic approach to the development of services and structures within the Occupational Health (OH) Service, embracing continuous quality improvement and technological development and the management of change necessary to achieve organisational and departmental objectives within a busy OH department.
Responsibilities:
Management and Administration:
- Ensure efficient and effective administration of the Occupational Health Department.
- Plan and coordinate services with clinical colleagues.
- Manage the administrative work streams associated with the services provided.
- Delegate responsibility to administrative staff as appropriate.
- Contribute to service, business and workforce plans for the Occupational Health Department and support their implementation.
- Manage procurement processes on behalf of the Occupational Health Department.
- Make appropriate use of technology to advance the quality and efficiency of service provision.
- Maintain a good understanding of internal and external factors that can affect service delivery including awareness of national and local issues that impact on Occupational Health.
- Promote multidisciplinary teamwork within the department.
- Solve problems and make decisions in a timely manner.
- Ensure decisions are in line with local and national agreements.
- Provide administrative support for meetings and attend as required.
- Respond to requests for information under the Freedom of Information Acts (FOI).
- Promote and maintain a health care worker focused environment of dignity and respect within the department.
Data Management and Audit:
- Facilitate and support the development and implementation of data collection and collation within the Occupational Health Department (OHD).
- Ongoing responsibility for audit and reporting systems within the service, ensuring that systems meet operational, management and clinical audit requirements.
- Oversee the collection and analysis of data, interpretation of findings, preparation of reports and audits, and participate in the presentation of findings and facilitation of actions needed to achieve objectives.
- Review the effectiveness of OH information systems in meeting data requirements, provide end user support and liaise with IT and system software suppliers as appropriate.
- Maintain confidentiality, adhere to the requirements of information governance and compliance with the Data Protection Act 2018, General Data Protection Regulation (GDPR) and hospital policies & procedures in the processing of data.
- Contribute to the design and implementation of standardised quality audits and reports required within the OH service.
- Work with Occupational Health Physicians /Nurse Managers on analysing data to ensure that it is complete and accurate.
- Provide statistical reports and audits on OH activities, for internal, external, quality improvement and research purposes.
- Participate in raising the profile of OH audit outcomes throughout the organisation.
