Description:
The Staff Member is required to be flexible, and undertake duties to support the work of the department as a whole. This can range from answering the phone, tracking, filing and retrieving healthcare records, taking bookings, reception duties, organising signage, booking meetings, dealing with queries and complaints to assisting with managing and training of staff as required.
Responsibilities:
In line with Beaumont Hospital’s policies, procedures and best practice standards the Clerical Officer, Grade III will:
1. Answer queries and provide a reception/ telephone service
2. Provide general secretarial/administrationsupport to the department and their specific requirements
3. Manage Data - including: maintaining, correcting, collating, validating and processing data
4. Maintain accurate up to date records, both computerised and paper copy filing systems and records
5. Assist in and / or prepare reports as necessary
6. Keep themselves appraised of the relevant documentation / procedures as relevant
7. Provide required information and support to Service Managers, team members, clients, patients, members of the public etc.
8. Action all communications in a timely manner
9. Identify potential problems / inconsistencies in a timely manner and consult with line manager as appropriate
10. Actively participate in innovation and change management in the approach to best practice within the Department
11. Represent the service in a positive manner
12. Undertake other assignments as directed
13. Any other administrative support as requested
14. Maintain the patient’s healthcare record.
15. Serve as a clerical resource person for the General Services Division.
16. Serve as a key communication link between the healthcare team, patients, families and other hospital departments.
17. Assist in the collection of data for statistical purposes, as required.
