Design Office Administrator

 

Description:


Optimize Recruitment are working with an established construction industry client based in the South Tipperary area to recruit an experienced Design Office administrator.

Duties:

  • Handling email and phone inquiries and other forms of written correspondence.
  • Taking messages and redirecting calls as required.
  • Managing the travel plans, appointments, and agendas of managers.
  • Taking inventory and replacing office supplies when necessary.
  • Submitting reports and preparing presentations and general research.
  • Creating and updating databases for various forms of data, including personnel and financial information.
  • Taking minutes in staff meetings.
  • Data entry to MS Excel.
  • Printing and photocopying business documents.
  • Sending calendar invites and booking meeting rooms and facilities for conferences.
  • Be flexible in relation to possible variations in duties from time to time as outlined by your line manager in line with business requirements.
  • Fully participate and co-operate in all areas of Health & Safety


Requirements:

  • 3 + years’ experience in a similar role
  • Previous experience within the construction industry would be beneficial.
  • Outstanding active listening skills, to enable you to help staff members.
  • Work well as part of a team and delegate tasks, create a plan, and update senior colleagues on progress.
  • Attention to Detail: Some tasks require a good eye for detail, such as data entry, proofreading, and making travel arrangements.
  • Excellent working knowledge of specific computer applications and software.
