Executive Assistant And Operations Support

 

Description:

You will be supporting the CEO with day-to-day administrative tasks and supporting our custom programs team with administrative and logistical support.

 

We are a small team so the candidate must be organised, have a positive attitude, and enjoy problem-solving with their teammates. This role requires you to work autonomously, create new processes, and able to multi-task on a high level, especially during busy seasons.

 

You must have excellent communication skills and be able to adapt your communication style to those you are working or collaborating with. You also need to have a go-getter attitude and can 'roll with the flow' while taking initiative.

 

This is a hybrid position whereby you will need to report to the main office a couple of times a week and work remotely.

 

Summary of Job Duties

Executive Assistant to the CEO

  • Provide direct support for the CEO on all levels
  • Assists with correspondence and email management
  • Event planning, managing meeting requests and scheduling
  • Coordinate travel plans and itineraries
  • Transcribe source material, prepare documents, powerpoints, reports, tables, and charts; distribute as appropriate for meetings and conferences
  • Maintains confidential and sensitive records
  • Other duties as assigned

 

Customised Programs Administration

You will work closely with the Customised Programs team to provide admin and operations support.

  • Reviewing and inputting information to the CRM
  • Organising bookings (hotels, restaurants, booking guides etc.) for group activities and excursions
  • Student arrival support and logistics coordination
  • Other duties as assigned

 

Required Skills

  • 5+ years experience in a similar full-time role providing executive administration and support to a growing team
  • Experience with event management and budgeting
  • Excellent interpersonal skills and enjoys working with people from all backgrounds
  • Exceptional writing, editing, and proofreading skills
  • Exceptional time-management skills and impeccable attention to detail
  • Legal right to work in Ireland
  • Fluent in English with excellent written and verbal skills
  • Full driver's license in Ireland and reliable transportation
  • Excellent computer skills and experience with Google Suite, CANVA, CRM system experience, Microsoft Office and Social Media outlets
  •  
  • Some travel is required
