Full Time Accounts Assistant

 

Description:

An opportunity has arisen in Belvedere College S.J. for the position of Accounts Assistant. The role will require working with the Finance Manager in a number of areas such as processing supplier invoices, recording lodgments, bank reconciliations and general accounts administration. This role may also be required to provide assistance to the reception area on an ad hoc basis.

 

Key Roles and Responsibilities:

 

Creditors

  • Assist the Finance Manager in processing Supplier Invoices
  • Assist the Finance Manager with allocating and batching supply invoices for approval with departmental Budget Holders.
  • Input Supplier invoices in SAGE accounts verifying accuracy and account coding.
  • Update the supplier payments spread sheet and request for cheques spread sheets.
  • Ensure that Tax Mandate forms are completed by each new service provider and tax clearance where applicable.
  • Processing and sending weekly supplier remittances.

 

Lodgments

  • Assist the Finance Manager with preparing lodgments.
  • Assist the Finance Manager with reconciliation of receipts and lodgments.
  • Update the lodgment spread sheet.
  •  

Receipting

  • Assist the Finance Manager with receipting Income from cash/cheques.
  • Reconcile receipts with payment disbursements and record any variances.

 

Filing

  • Assist the Finance Manager with all filing requirements.
  • Assist Finance Manager with improving and creating new filing systems.

Other

  • Ensure that internal housekeeping documents are rerecorded and updated.
  • Maintain stationery orders and stockroom suppliers.
  • Assist the Finance Manager with any ad hoc accounting requirements.
  • Processing monthly payments, direct debits, mobile phone bills.
  • Sending monthly Dept Nominal Analysis Reports and updating spreadsheets.

 

Trips

  • Update the income received from the Finance Manager for each Trip sheet list.
  • Create summary sheet templates for each new trip from Budgets provided.
  • Assist the Finance Manager to reconcile Trips receipts.

 

Bank

  • Bank reconciliation of Trips and Main Bank Accounts

 

Reception

  • Reception assistance as and when required.

 

 

Qualifications

- Leaving Certificate

- Pursing a qualification in Accounting and/or relevant work experience in this area

Studies in Accounting Principles/Technician

Experience

- Minimum of 12 months previous accounts experience
