Description:
The Administrative Office Administrator will provide crucial administrative support to ensure smooth office operations. This role involves maintaining filing systems, handling client and supplier communications, managing schedules, and supporting various departments with administrative tasks. The ideal candidate will possess strong communication and organizational skills and be able to handle multiple tasks simultaneously in a fast-paced environment.
Key Responsibilities:
- Provide administrative support to management and staff to ensure efficient office operations
- Handle incoming phone calls and emails, directing them to the appropriate personnel or resolving queries
- Maintain both physical and digital filing systems
- Schedule appointments, meetings, and assist with office logistics
- Manage office supplies and equipment orders
- Prepare sales quotations and assist with invoicing
- Update and maintain customer records in the CRM system
- Assist with vendor management, including purchase orders and processing supplier invoices
- Prepare reports, presentations, and other documents as required
- Assist in responding to and resolving customer queries, ensuring customer satisfaction
- Support the accounts department with additional administrative tasks as needed
Skills & Experience Required:
- Proven experience as an Office Administrator, Secretary, or in a similar role
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with CRM systems
- Excellent communication skills, both written and spoken English
- Strong skills in telephone communication and customer service
- Experience with preparing sales quotations and handling supplier communications
- High level of accuracy and attention to detail, especially with numbers
- Ability to multitask, prioritize, and work efficiently under pressure
- Well-organized with a proactive work ethic and the ability to work both independently and as part of a team
- Flexibility and professionalism in handling confidential information
