This role will involve having the overall responsibility and leadership of Corporate Services across the four Aviva locations in Ireland, to include FM Operations, Fleet Management, local Supplier Management and Compliance, supporting with the property strategy and implementation, driving the Net Zero strategy for the Aviva Irish Business, and leading the Health and Safety management and delivery in Ireland.
This position will be reporting into the Chief Operations Officer of the GI business with dotted reporting line for operational synergies to Director of CS&R, this role has overall responsibility for the operational management of Corporate Services across the Irish sites, including Engineering, Cleaning, Security, Catering and Fleet Management, all currently delivered by Aviva’s outsourced providers in Dublin, Galway, and Cork.
This position will be working closely with Corporate Services & Resilience and Group Property in the contractual management of the outsourced partners, to ensure service meets contractual SLA’s.
The role will be responsible for the delivery of the Property and Waste Group Net Zero strategy in Ireland, including the transition to a fleet of company cars powered on EV/PHEV.
In addition, the Operations Manager will have line management responsibility for the Health & Safety Specialist (who will report on a functional basis into the Group Health & Safety team).
Duties and responsibilities:
Lead the third-party Corporate Services delivery team, to ensure Security and Facilities services are delivered as per contractual specification and SLA’s.
Compliance with Aviva governance for contract/supplier management and any external spend.
Ensure cost effective running of the Aviva properties, identifying efficiencies both operational and commercially to the running of the Aviva sites. The management of utility usage (gas and electricity) to minimise the overall cost of the buildings.
Keep up to date with H&S legislation and practice. Ensure H&S audits are undertaken as appropriate with actions tracked through the management of the H&S Specialist.
Delivery of a motor fleet that meets the business needs of drivers whilst also delivering on the net zero objective of a 100% EV/PHEV fleet.
Risk - identify, own, and manage any key risks and/or key controls via iCARE – report and escalate risks as appropriate. A rigorous approach to risk management is critical.
Work collaboratively with the Ireland Group Property Finance lead to gain full understanding of budgets, and monitoring of over and underspends, as well as input during budget revision periods.
Responsible for leading the Net Zero property and waste reduction strategy in Ireland and reporting on key milestones and deliverables.
Align with counterparts in other source markets to share learnings and best practices, including the UK and Canada.
The successful delivery of the role will be through the effective leadership of the third-party corporate services team.
Effective communication between multiple business functions and source markets is required to ensure Aviva’s objectives and deliverables are aligned and delivered successfully.
Work with group Finance, Procurement, Legal, Property and Corporate Services & Resilience teams in country and in the UK to support with the delivery of services and responsibilities.
Represent the Operations function on appropriate steerco’s forums and attend monthly and quarterly supplier business reviews.
