Receptionist / Administrator

 

Description:

This is an entry level position for an individual looking to gain experience. It will be part time reception (2.5 days per week) and part time back office administrator (2.5 days per week).

Reception - Principal Duties and Responsibilities:

  • The overall Purpose of the job is to ensure the smooth operation of the reception area and that the service is kept to the highest standards.
  • Managing main switchboard and coordinating messages as required.
  • Handling a high volume of calls and emails in an efficient pleasant manner directing queries to the correct department and Division.
  • Act as first point of contact for customer queries
  • Liaise with customers via phone and email
  • Deal with any issues in an efficient and timely manner and escalate to management where necessary
  • Administration of all incoming/ outgoing post and couriers as required for the site.
  • Ordering stationery and other supplies
  • All other general reception duties as directed by your line manager and required by the role.

Administrator - Principal Duties and Responsibilities:

  • The overall purpose of this role is to provide administration and project support to departments as needed.
  • Responding to all requests in a timely manner
  • To provide a high degree of communication to all key internal and external stakeholders
  • To have a pro-active involvement and desire to succeed in new projects and business development
  • Adherence to all procedures and SOP’s
  • Project work – as required by the business
  • Supporting Sales Teams & Managers
  • Producing monthly reports and KPI’s
  • Providing administrative support to other departments, as required

Experience & profile:

  • Comfortable in a busy environment dealing with a range of different tasks
  • Excellent communication skills with a strong customer focus
  • Highly organised with excellent attention-to-detail
  • Ability to multi-task and prioritise effectively
  • Flexible and adaptable to support business needs with a positive attitude
  • The ability to use their own initiative
  • Demonstrate the ability to contribute and foster a positive team environment
