Senior Executive Assistant

 

Description:

Zendesk is looking for a full-time, highly organized Senior Executive Assistant to work closely with and primarily support three senior Engineering Executives in our EMEA region (Dublin, Ireland & Krakow, Poland primarily). Two of these executives are site leaders in their region. In addition to calendar, travel and expenses for these executives, you will coordinate and co-manage a range of meeting logistics, communications, and associated tasks, and be ready to assist in matters that require the regional site leader’s attention. You will learn about the functional, business and regional contexts, be part of a tight-knit team and learn adjacent skills to run special projects.

 

Excellent verbal, written and organizational skills are a must. The ideal candidate should also have a consistent record of success in supporting executives in a multifaceted work environment. You are energetic with a fun-loving, approachable attitude, yet you are an accomplished professional gifted with the ability to handle challenging situations with grace and tact with sense of urgency and proficiency. You are also able to handle sensitive and confidential matters with unwavering integrity and ethics at all times.

Responsibilities:

  • Proactively maintain calendars and daily schedules for your assigned executives, fielding and prioritizing requests that require attention

  • Have a thorough understanding of exec’s priorities and workload to predict, prioritize and make recommendations/offer tradeoffs

  • May handle emails and communications for the executives and communicate with both internal and external parties with a high level of professionalism and diplomacy

  • May assist with team all hands, leadership and team meetings including (at the discretion of the executive) all logistics, meeting invites, gathering and coordinating agendas, assisting with creating slide decks, catering, meeting notes and action items, and liaise with other EAs to align schedules

  • Manage all travel and expenses for your assigned executives in a proactive, fiscally alert manner

  • Assist in coordination for various events

  • Ensure and maintain the confidentiality of all appropriate communications and document

  • Proactively come up with creative solutions to new or existing risks/problems that may negatively impact their executive

  • Partners with executive, P+P, HRBP, other cross-functional leadership to coordinate onboarding of new leadership team members

  • Manage ad-hoc functional and/or regional site management related projects as requested

  • Maintain a positive and effective working relationship with all members of Zendesk, including our executives and EAs

Requirements:

  • Experience in a tech/SaaS environment is preferred

  • At least 4-6 years of proven success supporting a C-level executive in a fast-moving and high-growth/dynamic environment. Experience/familiarity supporting a Engineering organization preferred

  • An extremely high sense of urgency and ability to work in a fast-paced, ever-changing environment

  • Highly professional, organized and detail-oriented

  • Ability to handle sensitive and confidential information

  • Exceptional time management skills with demonstrated ability to manage multiple competing priorities and to constantly re-prioritize

  • Focus on customer service at all levels

  • Excellent verbal and written communication skills

  • Outstanding project and event management skills

  • Highly competent with all Google Suite applications

  • BA/BS degree preferred
