Key Responsibilities:
1. Precisely input all pertinent information from incoming jobs, calls, emails, and verbal communications into the system.
2. Follow up on and reconcile incoming documentation to facilitate the closure of ongoing tasks, encompassing quotes, service reports, and recommendations.
3. Collaborate closely with the purchasing department to facilitate the ordering of spare parts and the matching of received goods with Purchase Orders.
4. Effectively manage work in progress, ensuring timely closure and billing of open work orders.
5. Skillfully coordinate and schedule service workflow, adeptly prioritising tasks within established timeframes.
6. Collaborate harmoniously with colleagues and other departments to enhance and modernise existing processes and procedures.
7. Provide assistance to the Service Manager as required, which may include occasional management tasks during absences.
8. Undertake ad-hoc duties as the need arises.
Qualifications and Experience:
- Essential proficiency in Microsoft Excel, Word, and Outlook.
- A readiness to embrace new systems and procedures.
- A track record of two or more years in a similar dynamic service environment is highly valued.
- Strong IT, numerical, verbal, interpersonal, and communication skills.
- The capability to function both independently and as part of a team.
- Outstanding customer service skills, including a courteous telephone manner.
